The Rethinking Resource Sharing Initiative (RRSI) was started to advocate for a complete rethink of the way libraries conduct resource sharing in the context of the global Internet revolution. In order to showcase resource sharing innovation, the RRSI has created an award to encourage libraries and librarians to make changes in how they do resource sharing and improve service to users.

Up to three winning submissions will be awarded a cash prize of $1,000 each. Recipients will be announced at the ALA Reference and User Services Association”s Sharing and Transforming Access to Resources Section’s (RUSA STARS) “Rethinking Resource Sharing” preconference on June 27 in Anaheim and also will be invited to present at the International Federation of Library Associations (IFLA) satellite preconference, “Rethinking Access to Information: Evolving Perspectives on Information Content Delivery,” in Boston in August 2008. Funding for the 2008 Innovations Awards was provided by the Alliance of Library Service Networks.

To be considered for the award, please submit a description of the user-centric service change you have made that has improved resource sharing in your library, consortium, or state. Full details for submission can be found at Rethinking Resource Sharing Web site.

The deadline for applications/nominations is May 15, 2008 (postmark or date of e-mail). Submissions are sent to the chair of the Rethinking Resource Sharing Awards Committee: Anne K Beaubien, Director of Cooperative Access Services, University of Michigan Library, 920 North University, 106 Hatcher Graduate Library, Ann Arbor, MI 48109-1205.

For additional information, contact Anne Beaubien.

As of April 13, 2008, WorldCat Resource Sharing is happy to announce the re-designed two-per-page printing .PDF layout. A group of twenty librarians and nine network representatives worked closely with OCLC and help determine that left justifying all the information except the patron information would allow for easy reading and consistency of style between the one and two per-page. It was also decided that it would benefit libraries by always displaying the following fields whether or not the information was present in the request, those fields are: call number, shipped date, lending charges, and returned date. If patron information is present, the bibliographic information wraps to another line and the patron data appears to the right of the first line of bibliographic information, a vertical line separates the different information. If there is no patron information the bibliographic information will extend across the page. OCLC hopes that this new layout will greatly improve the usability of the two-per-page printout.

Revolutionize Reserves with Ares
PALINET will be hosting a free webinar to showcase Ares on Thursday 2/21/2008 at 10am.
Sign up for a demonstration of how this can work at your library in time to take advantage of the 5% discount Atlas is offering to libraries using ILLiad. Use this link to
register.
Ares
can help you improve service and eliminate stress. If you have ever been inundated with last minute reserve requests from faculty, or had students seeking phantom reserves, then you know the built in hazards of the service. Ares is designed to work with Blackboard to eliminate those problems. Faculty can upload, edit and delete reserves for their classes themselves. Students receive alerts and updates when new materials appear. Atlas Systems has also partnered with the Copyright Clearance Center, so that faculty can easily secure copyright permissions for their electronic reserves materials and the library can track the costs and requests.

Use the copyright features in OCLC ILLiad and be entered to win a $500 gift certificate from Vernon library supplies.

From December 10 through March 13, 2008 when you report your ILL permissions through the copyright permissions feature within OCLC ILLiad your library will be automatically entered into a drawing to win one of three $500 Vernon gift certificates.

WorldCat Resource Sharing now supports both IE6 and IE7. However, you will need to modify your security settings in your browser and add oclc.org as a trusted site.  Below are complete instructions for changing the security settings in IE7.   For IE6 the default setting for “Security Level for this Zone” is LOW, so users of IE6 only need to complete the second task of adding oclc.org as a trusted site.  First, close down all active applications (including Outlook, Word, and all instances of IE, etc.) Open your browser  Security settings for IE7  Select the following options:

  • Click on the Tools menu
  • Open Internet Options
  • go to the SECURITY TAB
  • Click on the TRUSTED SITES icon
  • Change “Security Level for this Zone” to LOW with the Slider Bar (Default Level is Medium)
    • LOW IS THE PREFERRED SETTING, but MEDIUM LOW will work
  • Next select the SITES button and add  *.oclc.org  to the trusted sites.
  • Make sure the “Require server verification (https:) for all sites in this zone” is UNCHECKED
  • If the box is checked when you enter *.oclc.org in the trusted sites, you will get a warning “Sites added to this zone must use the https:// prefix.” This prefix assures a secure connection.”
    • Click on the OK button
    • uncheck the box
    • Add again.
  • Click on Close
  • Click on OK to exit from menu
  • Close your browser
  • Open your browser

Adding *.oclc.org as a trusted site for IE7 and IE6 Click on the Tools menu

  • Open Internet Options
  • Open on the Security tab
  • Click on the Trusted Sites icon (green)
  • Click on Sites button
  • Enter:  *.oclc.org in the “Add this Web site to the zone” box
  • Unclick the server verification / https: requirement
  • Click Add
  • Click OK to close the Trusted Sites window
  • Click OK to close Internet Options window

Continue your work.

FirstSearch supports IE7

FirstSearch now supports IE6 and IE7.  OCLC has completed testing and all problems discovered have been resolved.  However when using IE7, you will need to modify your pop-up settings.  You can update the pop-up blocker so that wanted sites are listed as trusted sites. For FirstSearch that would be the FirstSearch website and also RefWorks, if RefWorks is used for export.  To allow pop-ups from FirstSearch or from RefWorks (if you are using RefWorks for exporting records) the following changes are needed.  In IE, go to: Tools / Popup Blocker / Popup Blocker Settings. Then in the area labeled “Allowed Sites”, enter “*.oclc.org”.  If RefWorks is being used, add “*.refworks.com” also.  Make sure the “Require server verification (https:) for all sites in this zone” is unchecked, otherwise you will get a warning “Sites added to this zone must use the https:// prefix. If you get that message, uncheck the required server verification and enter “*.oclc.org” again.Next click on close and OK to exit the menu and close the browser.  Now when you open your browser you will find export to RefWorks and other features work.

You may also found it useful to set your security option lower. To do this make sure all other active applications are shut down, such as Word or Outlook.  Then, go to Tools / Internet Options / Security / Internet and reset the custom setting to Low or Medium Low.  The default level is Medium.  Then exit out of the menu and close the browser.  When you start it up again, the new security level will be set.

The Local Holdings Offline Product is now available. Individual libraries can order a tab delimited file of all of the local holdings they currently have in WorldCat from the OCLC website at https://www3.oclc.org/app/lhop/. Once produced the tab delimited file will be available for download from the Product Services Web [http://psw.oclc.org/] and can be imported into a spreadsheet package. If your library has more than 20,000 local holdings records, multiple files will be provided with up to 20,000 records in each file. There is no charge for this report.

A Quick Reference guide is available online at

http://www.oclc.org/us/en/support/documentation/localholdings/offlineproduct/lhm_offlineproduct_quickref.pdf and covers the order process, how to download the file, and information on how to import the file into Microsoft Office Excel. Below is a brief list of the data elements that will be include in the file.

From the bibliographic record:
OCLC Number
Title of Item from the bibliographic record (245 $a)
ISBN/ISSN (020 $a or 022 $a) - the data will be preceded by a label identifying it as either an ISSN or ISBN
Place of Publication (260 $a & $b)
BLvL - code from the Bibliographic Level element in the bibliographic record
Form - Code from the Form of Item element in the bibliographic record
SrTp - Code from the Type of Serials element in the bibliographic record
From the Local Holdings record
LHR Summary - Note: There is only one summary per bibliographic per institution regardless of the number of LHRs that the library has attached to the bibliographic record. If a library has multiple LHRs attached to a single bibliographic record each LHR will appear on a separate row and the summary field will be repeated in each row.

LHR Leader Note: Each element from the leader will be preceded by label that identifies the item. Data will always appear in the same column for all LHRs in the file.

LHR 007 Codes from the Physical Description field.
LHR 008 - Codes from the Fixed-Length Data Elements General Information . The complete set of 32 characters from the 008 will be included.

For ease of sorting, in addition to being included in the complete 008 field, the Lending (008/20) & Reproduction (008/21) policy codes and the Date of report (008/26-31) will be broken out into separate columns.

LHR 852 (Location) The field tag, indicators, and all subfields will be included as they appear in the LHR at the time the data was extracted. Subfield delimiters will appear as ‘$’

Holdings Information Fields from the LHR that describe the library’s holdings including Electronic Location (856) and Holdings Data (853-878). Each field will be in a separate cell and will include the field tag, indicators, and all subfields from the field. Repeatable fields will appear in separate cells (for example if there are two 863 fields each 863 field will appear in a separate cell within the file). Subfield delimiters will appear as ‘$’ Position of the data will be dependent of the fields that are contained within the LHR.

OCLC has been monitoring and looking into a host of issues that are related to the .PDF printing within WorldCat Resource Sharing.

OCLC worked with users to come up with the format for the one-and two-per-page printing and received sign-off on the requirements that were then worked on.

OCLC did all standard testing measures before the install on Sunday, but due to the many browsers people are using and the individual configurations on users’ machines,

OCLC was not able to anticipate the issues that are addressed below.

Please note that while OCLC does not officially support IE 7.0, the solutions below will help users of IE 7.0 work around their problems as well as assisting users of IE 6.0.

Wrap-around text

While OCLC worked with users to design the printouts, it’s become clear that the two-per-page printouts needs to be modified so that text does not wrap-around in the printouts (some users are referring to this issue as the printouts being jumbled, scrunched, etc.).  OCLC is working to make the printouts more user-friendly, and anticipates a fix in February or March.

OCLC has discovered that the vast majority of the problems users are having relate to their web browsers and browser settings.

Issue #1-2-3

Printing more than 100, after user prints their first 100 requests, they’re unable to print additional requests (pop-up blockers)

Automatically updating pending to in process

Both issues affect users of IE 6.0 and IE 7.0

Resolution for #1-2-3

Users need to modify their browser settings so that they’re able to download the full number of requests. First, close down all active applications (including Outlook, Word, and all instances of IE, etc.)

Open your browser and select the following options:

Tools

Internet Options

Security

Internet

Custom level

Scroll down to Automatic Prompting for File Downloads , and choose “Enable.”

Once enabled, close your browser

Open your browser and continue your work.

Issue #4

Font size on printouts is very small

Resolution #4

Page Scaling

If users have page scaling set, their font size will be reduced. When printing from Adobe Reader, users need to be sure that their page scaling is set to none. The notice in red is not an error message, just a message to be sure to set scaling to NONE.

As an alternative to a Local Holdings User Group meeting at ALA Midwinter in Philadelphia, OCLC will be holding a virtual user group meeting on February 7, 2008 at 2:00 pm, Eastern Standard Time.  The goal of the virtual meeting is to give all staff who use, maintain, or are interested in  Local Holdings information the opportunity to participate in a user group meeting.

Additional information about the virtual user group meeting will be posted later in January and will include sign-up instructions and agenda information.

Just a reminder that the following dates are non-referral dates for WorldCat Resource Sharing and OCLC ILLiad.

  • December 24, 2007 (Monday)
  • December 25, 2007 (Tuesday)
  • December 31, 2007 (Monday)
  • January 1, 2008 (Tuesday)

Thank you and Happy Holidays!

The holidays are quickly approaching! If your Interlibrary Loan department will be closing for the holidays or taking a winter break, let other libraries know by temporarily making your library a non-supplier in the OCLC’s WorldCat Resource Sharing service.  You can change your supplier status in one of two ways:

1. Try out the feature in the OCLC ILL Policies Directory!OCLC has a feature in the Policies Directory that allows a library to change their own supplier status. If you would like to try this out, here are the instructions: Log in to the ILL Policies Directory http://illpolicies.oclc.org with your OCLC Interlibrary Loan Login and Password. If you click on “My Units” and pull up your library’s record, you will see a link that says “Change Supplier Status.” When you click on this link, you will get a screen where you can put in the dates that you wish to be a non-supplier. You can choose the dates from the pop-up calendar, or type them in using the OCLC year-month-day date format (ex. today is 20071215). After the dates are entered, please click to “save” the dates.
2. Ask PALINET to process the change.  If you are a PALINET member and would prefer to have PALINET staff process your request, we will be happy to do so. Please contact the PALINET Support Center palinetsupport@palinet.org or 1-800-233-3401, ext. 1250, with the following information: OCLC symbol, Library name, Non-supplier start date, Non-supplier end date, and Name of person requesting change. Please note:In either case, any day of the week is fine for a starting or ending date. Please be aware that the change does not occur instantly - it occurs on the date you specify.  For your reference OCLC treats the following as non-referral days:

  • New Year’s Day
  • Thanksgiving
  • Day after Thanksgiving
  • Christmas Eve
  • Christmas Day
  • New Year’s Eve
